Rules, Regulations and Guidelines
For Students and their Parents/Guardians
w.e.f. 01/01/2026
The school believes that discipline is the foundation of education. To ensure a safe, productive, and respectful environment for all, the following rules and regulations must be strictly adhered to by all students and parents.
1. Attendance and Punctuality
- Arrival: Students must arrive at the school strictly on time. Late comers will not be permitted to enter the class without permission from the Principal or designated authority. Repeated late arrival may result in disciplinary action.
- Mandatory Attendance: As per educational guidelines, a minimum of 75% attendance is compulsory for every student to be eligible for being promoted.
- Leave Process: No student is allowed to remain absent without prior permission. A formal leave application, signed by the parent/guardian, must be submitted to the class teacher or the school office.
- Medical Leave: In case of sick leave extending for more than 3 days, it is mandatory to submit a valid Medical Certificate from a registered practitioner along with the leave application.
2. School Uniform and Grooming
- All students must come to school in the prescribed School Uniform.
- The uniform must be neat, clean, and ironed. Students violating the uniform code (improper footwear, unkempt hair, or missing identity cards) may be sent home or denied entry to the class.
3. Disciplinary Policy & Suspension
The school maintains a zero-tolerance policy regarding indiscipline. The following actions are considered Serious Offenses and will lead to Immediate Suspension:
- Bunking Classes/Leaving Premises: Leaving the school premises without an official gate pass or permission, or skipping classes while on campus.
- Bullying & Harassment: Any form of physical or verbal bullying, ragging, or harassment of peers.
- Irresponsible Behavior: Acts that disrupt the academic environment or endanger others.
- Bypass of Protocols: Deliberate violation of established school protocols and defiance of authority.
- Prohibited Items: Carrying mobile phones, smartwatches, sharp objects, expensive gadgets, or any other prohibited material is strictly forbidden. These items will be confiscated and disciplinary action will follow.
4. Sports, Physical Activities & Liability Disclaimer
The school encourages physical well-being and provides facilities for outdoor sports and field activities within the premises. However, parents and guardians must note the following:
- Liability: The School Management and Staff will not be held responsible for any sports injuries, accidents, or mishaps that may occur during sports activities, physical training, or field events.
- First Aid: In the event of an injury or accident, the school’s responsibility is strictly limited to providing immediate First Aid only. Further medical treatment is the sole responsibility of the parents.
5. General Code of Conduct
- School Property: Care must be taken of all school property. Students found damaging desks, chairs, walls, or library books will be required to pay for the damages and may face suspension.
- Cleanliness: Students are expected to keep the campus clean and use dustbins for disposal of waste.
- Respect: Students must show respect to all teachers, non-teaching staff, and fellow students. Use of abusive language is strictly prohibited.
6. Guidelines for Parents & Guardians
To ensure the holistic development of the child, the school seeks the full cooperation of parents and guardians.
- School Almanac/Diary: Parents are requested to check their ward's school diary every day for homework, circulars, or remarks from teachers, and sign it regularly.
- Parent-Teacher Meetings (PTM): Attendance at PTMs is compulsory. It is crucial for discussing the academic progress and behavioral development of the student.
- Contact Information: Any change in residential address or phone number must be immediately notified to the school office in writing to ensure effective communication.
- Health & Safety: Please do not send your child to school if they are suffering from any infectious disease (e.g., Chickenpox, Conjunctivitis, Flu) until the recovery period is over.
- Labeling of Belongings: Parents must label their ward's name on all personal items such as blazers, sweaters, lunch boxes, and water bottles to prevent loss.
- Visiting Procedures: Parents are requested not to enter classrooms or meet teachers during class hours. Meetings with the Principal or teachers should be scheduled during specific visiting hours or by prior appointment only.
- Support & Criticism: Parents are encouraged to support the school’s disciplinary policies. Criticism of a teacher or the school in the presence of the child should be avoided, as it undermines the teacher's authority and confuses the student.
7. ADMISSION & DOCUMENTATION PROTOCOLS
Admission to the school is granted based on merit and the availability of seats. The following rules apply strictly to the admission process:
- Provisional Admission: All admissions remain provisional until all relevant documents are submitted and verified.
- Submission of Documents: Parents must submit the following documents to the Administrative Office within 15 days of the date of admission:
- Original Transfer Certificate (T.C.) from the previous school (if applicable).
- Photocopy of the Birth Certificate.
- Photocopy of the Report Card/Mark Sheet of the previous class (if applicable).
- Photocopy of the Student’s Aadhaar Card.
- Note: Failure to submit these documents within the stipulated time will result in the automatic cancellation of the provisional admission.
- Mandatory Attendance: It is compulsory for a newly admitted student to attend school for the first five consecutive days from the date of admission. Failure to do so will lead to the cancellation of the seat.
- Academic Eligibility: Students who have failed in their previous class/school will not be granted admission. If such a fact is concealed and discovered later, the admission will be cancelled immediately. In such cases, fees will not be refunded.
- Date of Birth: The Date of Birth once recorded in the school register will not be changed under any circumstances. A request for change will only be entertained if a T.C. with corrected records, countersigned by the DIOS (District Inspector of Schools), is submitted.
8. EXAMINATION & EVALUATION POLICY
The school follows a strict evaluation system to ensure academic excellence.
- Attendance Requirement: A minimum of 75% attendance is mandatory for every student during the academic year. Students falling short of this criteria will not be promoted.
- Absence from Exams:
- No Re-Test: There is no provision for a re-test for Unit Tests or Terminal Exams under any circumstances (including medical reasons).
- Unit Tests: If a student is absent for a Unit Test, they will be marked Zero (0) in that subject.
- Medical Certificate: If a student misses an examination due to illness, a valid Medical Certificate must be submitted to the Principal during the examination period itself. Retrospective submission will not be accepted.
- Unfair Means: The use of unfair means (cheating, copying, possession of cheat sheets or prohibited items) during examinations is a grave offense. Any student caught indulging in such activities faces strict disciplinary action, including suspension or rustication.
9. PROMOTION & RETENTION CRITERIA
Promotion to the next higher class is granted based on the student’s performance throughout the year.
- Passing Criteria: A student must secure an aggregate of at least 40% marks to be eligible for promotion to the next class.
- Retention/Failure Policy: The school reserves the right to ask a student to leave if:
- The student fails twice in the same class.
- The student fails twice in different classes during their entire tenure at the school.
- Discretion: All cases of doubt regarding promotion are left entirely to the discretion of the Principal, whose decision shall be final and binding. Promotion once refused will not be reconsidered.
10. WITHDRAWAL & TRANSFER CERTIFICATE (T.C.)
Parents intending to withdraw their ward must follow the standard withdrawal procedure:
- No Dues Clearance: A Transfer Certificate (T.C.) will only be issued after the student obtains a "No Dues" clearance from the school authorities.
- Processing Time:
- General T.C.: Issued 5 days after the submission of the application.
- Countersigned T.C.: Issued 7 days after the submission of the application.
- Mid-Session Withdrawal: If a student is withdrawn in the middle of the academic session (or is a new admission leaving mid-session), the parent is liable to pay fees for 6 months, including transport charges.
- Lost T.C. Procedure: A duplicate or triplicate copy of the T.C. will only be issued if the original is lost. Parents must submit:
- A Notarized Affidavit stating the loss.
- A Newspaper Cutting (public notice) regarding the loss of the document.
- Note: No T.C. will be issued after the issuance of a Triplicate T.C.
- T.C. Fee: A processing fee of ₹150/- will be charged for the issuance of a Transfer Certificate.
11. EXAMINATION & EVALUATION RULES
The school follows a continuous and comprehensive evaluation system. Strict adherence to the following rules is mandatory for all students.
General Conduct During Examinations
- Punctuality: Students must report to the examination hall strictly on time. Latecomers may be denied entry.
- Stationery: Children should come to school well-equipped with all necessary stationery (pens, pencils, geometry boxes, etc.) for the examination or unit test. Borrowing of any material is strictly prohibited.
- Discipline: Absolute silence must be maintained in the examination hall. Talking, whispering, or gesturing to other students is not allowed.
- Queries: In case of any doubt regarding the question paper, queries should be addressed only to the invigilator and not to fellow students.
Unfair Means (Zero Tolerance Policy)
- No student should indulge in any unfair means (cheating, copying, possession of notes/chits) during an examination or unit test.
- If a child is caught in any such act, the Principal and Management reserve the right to take severe disciplinary action, which may include cancellation of the paper, suspension, or even rustication in extreme and repetitive cases.
Attendance & Eligibility
- Mandatory Attendance: A student must secure at least 75% attendance during the academic year. Students falling short of this attendance criteria will not be permitted to appear for the Examinations.
Absence Policy & Medical Rules
- No Re-Tests: No examination or unit test will be conducted before or after the scheduled time under any circumstances (including medical reasons or family functions).
- Absence in Unit Test: In case of absence in a Unit Test, the child will be marked Zero.
- Medical Certificate: Students who are absent from any examination due to sickness must submit a valid Medical Certificate at the earliest, specifically during the examination period itself. Retrospective submission after the results are declared will not be accepted.
Special Provision for Late Admissions
- In case of a student joining late (Late Admission), the mark 'L.A.' will be entered for the missed Unit Tests.
- To ensure fair assessment, the marks obtained by the student in the next immediate Unit Test will be doubled (or adjusted pro-rata) to cover the missed component.
Promotion Criteria & Retention
- Aggregate Score: For promotion to the next class, it is essential that a student obtains at least 40% marks in the aggregate of all exams and internal assessments.
- Principal’s Discretion: All cases of doubt regarding promotion are left entirely to the discretion of the Principal. The Principal's decision shall be final and binding. Promotion once refused will not be reconsidered.
- Withholding Results: Report Cards and Answer Sheets will not be shown to parents/students until all dues (Fees, T.C., Birth Certificate, etc.) are cleared.
12. FEE REGULATIONS & PAYMENT POLICY
Parents are requested to adhere strictly to the fee rules and payment schedule. Timely payment of fees ensures the smooth functioning of the institution.
Payment Schedule & Procedure
- Due Date: School fees must be paid on or before the last working day of the respective month.
- Mode of Payment: Fees should be paid at the school fee counter by cash or cheque in favor of: "Bright Creation Convent School". Parents must bring the fee card & collect the fee receipt immediately after payment and keep it safely for future reference.
Late Fee & Fine Structure
If the fee is not cleared by the due date, the following penalty structure will be applicable:
- Late Fine: Fees paid after the last working day of the due month will attract a late fine of ₹100/- per month.
- Cumulative Fine: If the fee remains unpaid, an additional fine of ₹100/- will be added for every subsequent month the dues are not cleared. (Example: If a fee is 2 months overdue, the fine will be cumulative i.e. ₹200/-).
Defaulters & Re-Admission Policy
- Non-Payment for 3 Months: If school fees are not paid for three consecutive months or more, the student’s name will be automatically struck off the school rolls.
- Discretionary Continuation: Continuation of the student in the school after their name has been struck off will be entirely at the discretion of the Principal.
- Re-Admission Charges: If re-admission is granted, the parent will be required to pay:
- All pending arrears.
- A Re-Admission Fee of ₹1000/-.
- A consolidated Late Fine of ₹100/- per month for the number of months delayed.
Refund & Adjustment Policy
- Non-Refundable: Fees once paid (including Admission Fee, Annual Charges, and Tuition Fee) will neither be refunded nor adjusted under any circumstances, even if the student does not attend a single day of school.
Mid-Session Withdrawal
- 6-Month Liability: In case of a new admission or an existing student being withdrawn in the middle of the academic session, the parent is liable to pay fees for 6 months (including Transport Fee). The Transfer Certificate (T.C.) will not be issued until this amount is cleared.
Optional & Co-Curricular Charges
- Govt. Regulations: As per the U.P. Government Fee Regulations Act, separate fees may be charged for optional, co-curricular, or extra-curricular activities.
- Scope: This includes exams, excursions/trips, transport, day boarding, or similar optional amenities offered by the school at any time during the year.
- Consent: Such charges will be levied only after taking due consent from the parents as per the provisions of the Act.
Examination & Document Clearance (No Dues)
- Withholding of Results: Students will not be shown their Report Cards or Answer Sheets unless all financial dues are cleared.
- Exam Entry: The school reserves the right to deny a student permission to sit for Unit Tests, Annual Examinations, or Board Examinations if the fee account is not up to date.
- Transfer Certificate: No Transfer Certificate (T.C.) or birth certificate copies will be released until a "No Dues" certificate is obtained from the Accounts Department.
- T.C. Fee: A fee of ₹150/- will be charged for the issuance of a Transfer Certificate.
